CallPerfect

Privacy Policy

Effective date: September 28, 2026

This Privacy Policy explains how CallPerfect, LLC ("CallPerfect", "we", "us") collects, uses, shares and protects information about people when they visit our website at callperfect.net, contact us, book a demonstration, or use the CallPerfect business phone service, including our customer portal.

CallPerfect provides a cloud business phone system to businesses in the United States. Our service is sold to businesses, not to consumers for personal use.

1. Two kinds of information, and who decides about each

We handle two different kinds of information, and the answer to "who decides how it is used?" is different for each.

Information about you that CallPerfect decides about. This includes what you send us through our website, what we need to set up and bill a customer account, what we need to provide and protect the service, and our communications with you. This policy describes how we handle it.

Communications our business customers make through our service. When a business uses CallPerfect, its calls, voicemails, recordings, transcripts, text messages and faxes pass through or are stored in our service. We handle that content on behalf of the business, to provide the service it has chosen, and the business decides how the service is used, for example whether to record calls. If you called, texted, faxed or left a voicemail for a business that uses CallPerfect and you have a question about how that business handles your information, please contact that business directly.

2. What information we collect

2.1 Information you give us

  • When you contact our sales team. Our Contact Sales form asks for your full name, business name, business email, phone number, the number of users you need, and an optional message.
  • When you book a demonstration. Our booking calendar asks for your name, email address, business name, phone number and the number of users, with an optional note, and records the time you choose. If you tick the optional box to receive other marketing from us, the booking also records that choice and when you made it.
  • When you or your company opens an account. Business name; the name, email address and password of the account administrator; the plan, billing period and number of users; business location details such as street address, city, state, ZIP code, time zone and contact numbers; the names, extensions and email addresses of users; and the phone numbers you choose or bring to us.
  • When you pay. Payments are made on a payment page provided by our payment processor, which holds your full card details. We do not store your full card number. We keep a reference that links your account to the payment processor's record, a record of each payment, and your billing contact details. If you choose to save a card for future payments, we also keep the last four digits of that card.
  • When you move existing numbers to us. To transfer numbers from another provider, we need a signed porting authorization with the numbers, your current provider's name, account number and account PIN, the name and addresses on the account, the authorized contact, and a copy of a recent bill.
  • For emergency 911 calling. The registered street address for each user or location, and your acknowledgment that you have received and understood the limits of 911 calling over the internet.
  • To register business texting. Before texting can be turned on, the industry registration process requires details about the business and how it will text people, such as its legal identity and registration details, how people agree to receive texts, sample messages, and links to its own privacy policy and terms.
  • When you contact support or speak with us. The details of your request, your contact information, and anything you choose to share with us.

2.2 Information created when you use the service

  • Call records. For each call: the calling and called numbers, where the call was routed, whether it was incoming or outgoing, the start, answer and end times, how long it lasted, and how it ended.
  • Voicemail. Messages callers leave, with the caller's number and the time, and the greetings you record. If your company turns on voicemail transcription for a mailbox, a machine-made text version of each new message in that mailbox.
  • Call recordings. Recordings exist only if your company turns on automatic recording or an authorized user starts recording during a call.
  • Transcripts and summaries of recorded calls. Created only when an authorized user asks for them: a transcript of a recorded call and, where the plan includes it, a short summary of that transcript.
  • Text and picture messages. The content of messages sent and received through the service, the numbers involved, the times, and whether each was delivered. We also keep records of opt-out and opt-in requests, such as a reply of STOP.
  • Faxes. Fax documents sent and received, the numbers involved and the result of each fax.
  • Audio your company uploads, such as greetings and hold music.
  • Technical and security information. When your phones and softphone apps connect to our service, we receive their IP addresses and device or app details. We also keep logs of how the service is working and of administrative actions, such as downloads and setting changes.
  • Account and billing records, such as what you have bought, your invoices and payment status, and a history of changes to your account.

2.3 Information collected automatically on our website

When you visit our website, your browser sends us and the services our website uses technical information such as your IP address, browser type, device type and the pages you request. Section 7 explains the specific cookies and outside services involved.

2.4 Information we receive from others

  • From your company, if your company's account administrator adds you as a user.
  • From phone carriers and our phone service providers, for example the result of a number transfer or of a texting registration review.
  • From our payment processor, confirmation of payments.

3. How we use information

We use information to:

  • respond to your enquiry and hold your demonstration;
  • if you send our Contact Sales form, contact you by phone or email about your request and related CallPerfect products and services, as the form explains;
  • set up, run and support your account and the service, including connecting calls, delivering voicemail, messages and faxes, and providing the features your company turns on;
  • bill for the service and keep financial records;
  • route 911 calls and send your registered location to emergency services;
  • register business texting and handle opt-out, help and opt-in requests as the law and the phone industry require;
  • protect the service, our customers and the people they communicate with, including detecting spam, fraud and misuse;
  • keep records we are required to keep, and respond to lawful requests; and
  • improve how our service and website work.

We do not use the content of your company's calls, voicemails, recordings, transcripts, summaries, messages or faxes to market or advertise to anyone, including to decide what to offer you.

4. Customer Proprietary Network Information (CPNI)

Federal law gives special protection to information about how you use our phone service and how it is set up, such as the numbers you call and the numbers that call you, when and how long you call, how much of the service you use, the services and features you subscribe to, and the charges on your bill for them. This is called Customer Proprietary Network Information, or CPNI. The content of your calls, messages and faxes is covered in section 1.

We use CPNI to provide, bill for and support the service, to protect it against fraud and misuse, to provide location information for emergency calls, and as the law otherwise permits or requires. We do not sell CPNI, and we do not give it to other companies for their marketing. We use and share CPNI only as federal law allows. We may send you notices about your account, your usage and your charges, and we will use your records to answer your questions about the service you have.

5. How we share information

We do not sell personal information for money, rent lists of personal information, or give personal information to data brokers. We do not provide personal information to another company for that company's own marketing. Some outside services collect information automatically from your browser, as described in section 7. Our payment processor collects payment information directly on its payment page and handles it under its own privacy terms.

We share information in these ways:

  • With service providers that help us run the service and the website. These are:
  • telecommunications providers, to give you phone numbers, connect calls, move numbers, show your business name as caller ID, connect 911 calls and deliver text messages;
  • the business-texting registry, to register and review business texting;
  • our payment processor, to take payments and keep billing records;
  • our email provider, for our email with you;
  • website hosting and website service providers, to run our website, protect our forms from spam, and provide fonts, icons and our booking and contact forms;
  • transcription and summary providers, to create voicemail transcripts, call transcripts and call summaries when your company uses those features;
  • fax providers, to send and receive faxes; and
  • cloud hosting and storage providers, to store the information the service holds.
  • With phone carriers and the phone industry, as needed to complete calls and deliver messages, to move numbers between providers, to display your business name as caller ID, and to register business texting with the industry registry and our carrier.
  • With emergency services. When a 911 call is made, the calling number and the registered location are sent through our 911 service provider to the emergency call center.
  • With your company. If you are a user on a company account, your company's account administrators can see and manage information in that account, including call records and, where your company turns those features on, recordings, transcripts and live call monitoring.
  • When the law requires it, for example to respond to a valid subpoena, court order or other legal process.
  • To protect people and the service, for example to protect the rights, property or safety of CallPerfect, our customers or others, or to prevent fraud or misuse of the service.
  • In a business transfer, if CallPerfect is involved in a merger, acquisition, financing or sale of assets, subject to this policy.
  • With your consent, or at your direction.

We do not sell or share mobile phone numbers, text-message opt-in or opt-out records, or consent to receive text messages with other companies for their own marketing or promotional purposes. We share them only with carriers, the texting registry and service providers that need them to deliver and register messages, keep opt-out records and prevent misuse, or where the law requires.

6. Call recording, transcription and live monitoring

Businesses that use CallPerfect decide whether to record calls, whether to transcribe them, and who in their company may listen to live calls. CallPerfect provides a recording announcement that businesses can configure. Each business is responsible for following the recording, monitoring and consent laws that apply to it and to the people on its calls.

Transcripts and summaries are made by machine and can contain errors. They are not a certified or official record.

7. Cookies and similar technologies on our website

We do not use advertising cookies or session-recording tools. Our website uses limited attribution cookies that record how you reached the site and which pages you viewed. Our spam-protection service may also set a security cookie, as described below.

Our spam-protection service collects information for us, to protect our forms. We do not allow any other company to collect personal information about your activity on our website.

8. Marketing and service messages

If you send our Contact Sales form, we may contact you by phone or email about your request and related CallPerfect products and services, as the form explains. If you only book a demonstration, we will contact you about that demonstration, and we will not send you other marketing unless you separately agree. When you book, you can tick an optional box, which starts unticked, to agree to other marketing from us.

You can ask us to stop marketing at any time, in any of these ways:

  • follow the unsubscribe instructions in any marketing email from us;
  • reply to any email from us and ask us to stop;
  • tell us during a call that you do not want sales calls; or
  • email us at privacy@callperfect.net.

We keep one list of the people who have asked us to stop, and we check it before we send marketing emails or make sales calls. We will honor your request within 10 business days. We keep your request on that list even if you later ask us to delete your information, so that we do not contact you again by mistake.

Stopping marketing does not stop messages about your account and the service, such as billing, security and service notices, or our replies to questions you ask us. It also does not change text messages that businesses send you through CallPerfect; section 11 explains how to stop those.

9. How long we keep information

How long we keep information depends on what it is and why we hold it.

  • Call recordings and voicemail are kept for up to 180 days while your subscription is active. If you cancel, the service continues through the period you have paid for, and your recordings stay available through that period. If you need to keep a recording or voicemail, download it before your service ends.
  • Transcripts of recorded calls are deleted from our service with the recording they come from.
  • Call records are the list of your calls: the numbers, the date and time, how long each call lasted, how it ended and any charge. They do not include what was said. We keep each call record for 18 months from the date of the call, and then delete it. This is separate from the 180-day period for recordings and voicemail.
  • When an account closes, whether you cancel, the account is closed for nonpayment, or you ask us to delete it, we delete the information stored in it, such as recordings and voicemail, after a limited period. After a cancellation or nonpayment we keep a limited record of the account for a period afterwards, so the business can come back with its settings. Some other records are kept separately where we need them, for example for tax, billing, fraud prevention, a request to stop marketing, text-message opt-outs, 911 records or a legal hold.
  • Call records are kept for their full 18 months even after an account closes, including when you ask us to delete your account. After closure you can no longer see them, and only a small number of our staff can reach them, only for billing, preventing fraud, handling disputes and answering legal requests.
  • Other information, including text messages, fax records, account and billing records, porting documents, support records, and information you send us through our website, is kept only as long as we need it to provide the service, keep required business and tax records, resolve disputes, prevent fraud and meet our legal duties.

We may keep information longer where we are required to preserve it because of a legal claim, investigation or legal request.

If we keep backup copies, they may not be deleted at the same time as information in your account.

Copies you download, and voicemails or faxes delivered to your email, are yours to keep or delete. Deleting information from our service does not delete them.

10. How we protect information

We use safeguards designed to protect information, including permissions that let each customer control what its administrators and users can do, and logs of important account actions such as downloads. No method of storing or sending information is completely secure, so we cannot guarantee absolute security. Please keep your passwords and phone-system sign-in details private, and tell us promptly if you believe your account has been misused.

11. Your choices

  • Account information. Account administrators can manage users, call settings and voicemail in the customer portal, or can contact us.
  • Access, correction and deletion. Anyone can ask us for a copy of the personal information we hold about them, ask us to correct it, or ask us to delete it, wherever they live. Email us at privacy@callperfect.net or write to us at the address in section 17. We will check your identity before we act, usually by confirming an email address or phone number we already hold for you. We do not ask for identity documents as a routine check. Some information we must or may keep, for example billing and tax records, call records for the period in section 9, records we need to prevent fraud or protect the service, the record that you asked us to stop marketing, text-message opt-out records, and information subject to a legal hold. If we cannot do everything you ask, we will tell you what we did, what we kept and why.
  • Closing your whole account. To close your CallPerfect account and have us delete it, contact our support team: send a support request from inside your account, or, if you cannot use your account, email support@callperfect.net. The privacy address in section 17 is for requests about your personal information.
  • Information held for a business. If your request is about calls, voicemails, recordings, messages or faxes that we handle for a business that uses CallPerfect, that business decides about them, as section 1 explains, so please contact the business. If you contact us instead, we will tell you which business it is and, with your permission, pass your request to that business. We act on the business's instructions unless the law requires otherwise.
  • Marketing. You can stop marketing contact at any time, as section 8 explains.
  • Text messages. If a business texts you through CallPerfect, reply STOP to stop further texts from that business, and START to receive them again. Reply HELP for help.

12. Emergency 911 calls

Emergency 911 calling over the internet depends on the registered address for each phone or user. We use the registered address to route 911 calls and send it to emergency services with each 911 call. Customers must keep registered addresses current. For the limits of 911 calling on our service, see our 911 notice.

13. Children

Our website and service are for businesses. They are not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us and we will delete it, unless the law requires us to keep it.

14. Where information is handled

CallPerfect offers its service to businesses in the United States. Some of the people who work for us or on our behalf, including staff and contractors, work outside the United States. They can access some of the information we hold, for example demonstration bookings made on our website.

15. Other websites and apps

Our website may link to other websites, and customers may use supported softphone apps from other companies to make calls. Our booking confirmation may offer a link to add your demonstration to an online calendar service; if you use it, the details go to that service under its own terms. Those websites, apps and services are governed by their own terms and privacy policies, not this one.

16. Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date at the top. If we make a material change, we will also email account administrators before the change takes effect. Where the law requires it, we will ask for your permission before we use information we already hold in a materially different way.
